Faculty Absences

Revision 7/27/09

Mat Anderson

The following is from Mat Anderson and I take it as Division procedure. It may be more than that but I can't find it codefied anywhere else.

  1. Planned Absence – a pre-arranged absence approved by the college and communicated to the immediate supervisor at least one calendar week prior to the absence.
    1. Faculty contacts immediate supervisor, and if off-campus, the off-campus administrator.
    2. Faculty arranges for substitute coverage from the approved substitute list.
    3. Faculty confirms to academic dean dates of absence and substitute coverage.
    4. Division will complete HR paperwork for substitute.
    5. Classes should meet as scheduled. Faculty are discouraged from re-scheduling class meeting times.
  1. Unplanned Absence – an unforeseen illness or a situation of an extreme  emergency nature for the faculty member where one calendar week prior notice is not possible.
    1. Faculty contacts immediate supervisor as soon as possible and advises of lesson plans. If class occurs off-campus, faculty contacts off-campus administrator as well.
    2. Division will look for substitute.
    3. If the division cannot find a substitute, options include:
      1. Contact Violence Prevention Program for class coverage
      2. Blackboard assignment option:
        1. It is not the college’s intention that a Blackboard assignment be the substitute for any face-to-face time in class. Any assignments with Blackboard where students do not need to attend class must be approved in advance by the immediate supervisor.
      3. Emergency Coverage Activity – all full-time faculty are requested to provide a one-page activity to cover a class period.
    4. Long-term Substitution – those faculty substitutions in excess of two weeks which are comprehensive in nature, requiring full lesson preparation, delivery of instruction, preparation of exams, and evaluation.
      1. Long-term substitute instructors are compensated on a prorated contract at the appropriate rate.
    5. Short-term Substitution – those faculty substitutions taking place in fewer than a two week time period and are not intended to go beyond the scope of meeting scheduled classes, although such assignments may include preparation of class materials and evaluation of student assignments. Generally, full-time faculty are not compensated for providing short-term coverage unless substitution occurs outside of their posted schedule.
    6. If an approved substitute is hired to cover a class, the salary of the substitute will be paid by the college.
